There's a vendor a lot of DCs have dealt with at some point — great price per unit, decent lead time on paper, always answers the phone. And then you start noticing things. Cases that scan as one SKU but contain another. Poly bags that aren't labeled the same way twice. You catch it at receiving if you're lucky. You don't catch it until a pick if you're not.


That's when the real invoice arrives. Not from the supplier. From your own operation.


Recount labor isn't free. When your team is pulling pallets back to verify what's actually in them, that's time not spent on outbound. One bad receipt on a 500-unit case pack can trigger a full location audit — and if your system already confirmed it, you're chasing a ghost for three days. I've seen a $0.40-per-unit price advantage evaporate completely by Tuesday afternoon of the same week the product hit the floor.


The thing procurement dashboards don't show is the downstream labor multiplier. Every inaccurate receipt has a tail. Mis-slots, wrong ship quantities, customer claims, returns processing. It compounds. The cheap vendor doesn't hand you a bill for any of that — it just shows up quietly in your shrink report and your cycle count variances, and everyone argues about whose fault it is.


Before the next RFP goes out, it's worth asking your warehouse team what they think of the current suppliers — not quality in the abstract, but specific friction: Which vendors' cases are a nightmare to scan? Who consistently ships short and counts it as full? That information exists on the floor. It usually just doesn't make it into the sourcing conversation.
