Asset tracking breaks down in ways nobody talks about

The forklift is on the floor plan. Physically, it hasn't been in that building for six months. Nobody updated the record because nobody owns the record, and the system that's supposed to track it requires three clicks and a login that half the team doesn't have. That's not a software failure. That's a workflow failure, and buying more software on top of it just buries the problem deeper.

Asset tracking falls apart in a few predictable places. The first is at receiving — things enter the building and get counted by hand, by memory, or not at all before they hit the floor. The second is at transfers, when an asset moves between docks, shifts, or sites and the person handing it off assumes someone else is logging it. The third, and probably the most expensive, is the annual or quarterly physical count where the team discovers that what's in the system and what's on the rack have drifted so far apart that reconciliation takes days.

The fix isn't always a new platform. Sometimes it's as simple as deciding who owns the data at each handoff point and making the scan happen at the moment the asset moves, not two days later during a catch-up session. Barcodes and mobile scanning close the gap between the physical event and the system record, but only if the scan is built into the moment — not bolted on as an afterthought.

For companies running physical counts, the count itself is often where confidence in the data collapses. Counters work from paper sheets or static exports, recount the same pallet twice, miss a lane, and by the time the spreadsheet gets reconciled it's already stale. Moving that process to a mobile tool — one that guides the counter, flags duplicates, and captures results in real time — doesn't just speed things up 🕐, it gives you a count you can actually trust when you're done.

Figuring out your asset tracking strategy starts with being honest about where your data breaks down. If you want to dig into the tools side, www.yuneva.com covers the broader picture and www.count-inventory.com gets into the specifics of mobile counting.
